Convert a bank statement PDF to a QuickBooks CSV
QuickBooks Online uploads bank transactions from CSV, not PDF. Convert your statement here into the three-column layout QuickBooks expects.
or drop it here
Read in this browser. Your file is never uploaded.
Rows wrong or missing?
Send us the shape of this statement, not its contents. The report below is made in this browser. It keeps where text sits, dates and column headings. Every name, amount, reference and account number is replaced with x and 1, as you can see. Nothing is sent until you send it.
Then email the report to support@statementtocsv.co.uk and say which bank it is from. We’ll add the layout and let you know.

Works with text PDFs that have Date, Description, Paid in / Paid out (or Amount) and Balance columns. Scanned or photographed statements are not supported yet. The samples are fictional test data.
The QuickBooks CSV layout
QuickBooks Online accepts bank transaction CSVs in two shapes: three columns (Date, Description, Amount) with one signed amount, or four columns (Date, Description, Credit, Debit) with money in and out separated. The QuickBooks export here is the three-column version:
Date,Description,Amount 02/03/2026,CARD PAYMENT FICTIONAL CAFE,-4.80 03/03/2026,FASTER PAYMENT FROM A CUSTOMER,1250.00
Money in is positive, money out negative. Dates are dd/mm/yyyy, the format UK QuickBooks companies normally use. There are no £ signs or thousands separators, so every amount is read as a number.
If you’d rather use the four-column layout, download the CSV for Excel instead: its Paid in and Paid out columns can be mapped to Credit and Debit.
Why convert here rather than retype
Retyping a statement into QuickBooks is slow and error-prone, and a single missed row leaves the account unable to reconcile. Each statement converted here is checked against the bank’s printed running balance first, so you know the file is complete before QuickBooks sees it.
Bigger catch-ups
For a new client or a year of catch-up bookkeeping, add every statement to “Several statements”. The whole-year check confirms the months join up, sets aside duplicate and overlapping statements, and gives you one QuickBooks CSV for the period.
Check the account before importing
QuickBooks Online asks which account the uploaded transactions belong to. If a client has several accounts with the same bank, check the sort code and account number on the statement against the account in QuickBooks before uploading. The converter separates statements from different accounts when you add several at once, and labels each group so you can tell them apart. After uploading, reconcile the account to the statement’s closing balance so the period is locked in.
QuickBooks Desktop
QuickBooks Desktop generally imports bank data as QBO/OFX web connect files rather than CSV. This converter doesn’t produce those, so the CSV export is aimed at QuickBooks Online.
