Check a set of bank statements for missing months

A client sends “the year’s statements”. Before you start, find out whether they really did, and if not, exactly which period is missing.

Try a fictional sample:

Works with text PDFs that have Date, Description, Paid in / Paid out (or Amount) and Balance columns. Scanned or photographed statements are not supported yet. The samples are fictional test data.

Two ways a month can be missing

A gap in dates. One statement ends on 30 June and the next starts on 1 August. That’s easy to spot when files are well named, but statements arrive as Statement (3).pdf, download.pdf and scan_0012.pdf, and a gap hides among them.

A gap in balances. The dates join, but the closing balance of one statement isn’t the opening balance of the next. This happens when a client sends a statement for a different account by mistake, or when a period was covered by an interim statement that wasn’t included.

The whole-year check looks for both. It reads the period printed on each statement rather than trusting file names, sorts them, and compares every closing balance with the next opening balance.

How to check

  1. Choose “Several statements”It’s already selected in the converter above.
  2. Add every statementSelect them all at once, or add them a few at a time. Each file joins the set.
  3. Read the Missing periods lineEach gap is listed with its dates, the balance before and after, and the amount the gap accounts for.
  4. Ask for exactly that periodInstead of “please send all your statements again”, you can ask for “the statement covering 1 to 31 July”.

What the amount tells you

A missing month still leaves a trace: the balance moves between the last statement before the gap and the first one after it. The check reports that movement. In the fictional sample above, June closes at £19,513.59 and August opens at £21,674.91, so the missing July statement accounts for £2,161.32 of net money in. That doesn’t tell you what the transactions were, but it tells you how much is unaccounted for, and confirms the whole year’s difference once the rest is explained.

Gaps that aren’t really gaps

Some accounts don’t produce a statement in a month with no transactions, especially savings accounts. If the balance is the same either side of a date gap, the check tells you; a quiet month is easy to confirm with the bank.

Questions people ask

Can it tell which month is missing if file names are random?

Yes. It reads the statement period from inside each PDF, so file names don’t matter.

What if the missing statement had no transactions?

If the closing balance before the gap equals the opening balance after it, the gap had no net movement. The check shows the balances so you can judge.

Does it find missing pages within a statement?

A missing page shows up as a balance that doesn’t add up inside that statement. See missing bank statement pages.
